Billing & Accounting 

  

              • Bill and Collect HOA Assessment(s)  
              • Collections of Past Due Assessments  
              • Maintenance and Reconciliation of an individual checking account and savings account in the Name of the Association
              • Provide the Board a Monthly Financial Accounting Including: Monthly Income & Expenses, Balance Sheet, and Accounts Receivable Aging Summary
              • Process and Deposit all Accounts Payable
              • Process Liens for non-payment of Assessment and/or Non-Compliance Fines - including recording the appropriate documentation for liens and lien releases, and satisfy the 30-day notification requirement (Certified mail and County recording fees extra.  In addition, in accordance with specific Association CC&R’s, an administrative fee is charged and billed to the homeowner with the delinquency).   
              • Provide Closing Agent with Charges Relating to new ownership
              • Assist the Board with the development of the Annual Budget
              • Assist the Board with the Annual Financial Audit

  

Meetings  

  

  • Attend Regular Board Meetings and Annual General Membership Meetings (1 per month) Note: Meetings running longer than 3 hours will be charged an additional fee at $60.00 per hour.  
  • Provide information pertaining to the operation and management of the Association
  • Distribute via email the Secretary’s Board and/or Membership Meeting minutes to all Board Members 
  • Arrange for location (if needed – facility charges additional)

  

Declaration of Covenants Conditions and Restrictions Enforcement

  

  • Perform Monthly Inspections
  • Send Compliance Letters to all home owners
  • Provide the Board of Directors with a monthly Violation Report
  • Assist the Board of Directors with Appeals
  • Serve as the Contact for Association Members to Report Violations

    

General or Annual Activities

  

  • Assist with the Election of the Board of Directors
  • Provide an Insurance Review
  • Oversee Maintenance Contracts
  • Assist in the review of Maintenance Contracts (where needed as requested)
  • Provide an Annual Account Statement to Each Homeowner
  • Security Gate Updates
